Digitalization is now an integral part of every business. Companies leverage cloud solutions, enterprise resource planning systems, automated processes, remote work, and a host of other technologies that enable faster and more efficient operations.

However, along with digitalization comes an increasing dependence on IT infrastructure. The more business processes are moved to the digital space, the more important a stable and properly maintained IT environment becomes.

This is precisely why many organizations fall into a dangerous illusion: if everything is working today, it means there are no problems.

At first glance, everything looks fine: employees can log into systems, email and internet connections are working, and daily tasks are proceeding as usual. Yet, it is in these very situations that risks often begin to accumulate unnoticed.

IT risks accumulate until they become critical

IT infrastructure is much more than just employee computers or an internet connection. It is an entire ecosystem, ranging from workstations and servers to network equipment, data backups, and security solutions.

The most common problems encountered in practice are:

  • irregularly updated workstations;
  • outdated operating systems;
  • unmaintained servers;
  • insufficiently monitored network infrastructure;
  • unverified backup recovery;
  • outdated or disorganized IT documentation;
  • excessive user permissions and security vulnerabilities.

According to Tadas Burba, Head of IT Development at the IT services company Heximus, the biggest problem is that none of these risks immediately halt daily operations, which is why they often go unnoticed. "Over time, they accumulate and become an increasing threat to the organization. It only takes one failure, an unexpected equipment malfunction, or a cyber incident to reveal that problems have been building up for months," says T. Burba.

When a single failure brings the entire business to a halt

To managers, IT often seems like a support function. As long as systems are running, they are not given a second thought. In reality, however, even a minor disruption can affect the entire organization.

When a critical device fails, a business system stops working, or access to data is lost, employees cannot perform their jobs. Processes grind to a halt, orders are delayed, customers do not receive services, and the company incurs direct losses.

For an employee, a broken computer is not just a technical inconvenience. It is lost working time that the business cannot recover. Even if the failure lasts only half a day, the employee's tasks do not disappear. They are pushed to the next day, and overall productivity declines. A non-functioning workstation costs significantly more than the repair or the purchase of a new computer.

In the field of cybersecurity, people often focus on complex attacks, but in reality, a threat can start with a single neglected workstation.

An outdated operating system, missing security updates, or improperly granted user permissions can become the starting point for a wider incident. Users often don't even realize that their computer is already posing a risk to the entire organization's network.

One neglected workstation can become a problem not just for the employee, but for the entire business, as most systems are interconnected.

Why a backup doesn't mean security

One of the most common business myths is the belief that if data is being backed up, everything is fine. In reality, the mere existence of a copy provides less protection than it seems—what matters most is whether the copy actually works when you need it most.

In practice, these types of gaps are most common:

  • Backups are made but never tested for restoration. A backup system might show that the process is "running successfully" for months, but that doesn't mean a functional system can actually be restored from that data. The error usually only comes to light at a critical moment—when restoration is needed here and now.
  • Backups are stored in the same environment as the original data. If a backup is accessible from the same network or with the same user permissions as the primary data, it is not protected from hacking or encryption attacks—it will simply become another target in the same attack.
  • There is no clear recovery time. Even if it is technically possible to restore data, it is vital for a business to know how long it will take for the organization to be operational again. Without a clearly defined and tested recovery plan, the process can take much longer than expected during a crisis.
  • Not all important data or systems are backed up. Backups often cover file servers, but business management systems, databases, or cloud environment configurations are forgotten, without which the company still could not continue its operations.

According to T. Burba, this is especially relevant in the context of modern cyberattacks: ransomware attacks often target not only working data but also backups, aiming to deprive the organization of any possibility of recovery without paying a ransom.

"This is precisely why a reliable backup strategy is based on several principles: backups are stored in several different locations (including a physically or logically separated, so-called 'immutable' storage that cannot be changed or deleted even with administrator rights), and the recovery process itself is periodically tested under real-world conditions, rather than just checked against system notifications," says T. Burba.

In other words, a backup only becomes real protection when an organization knows the answers to three questions: is the backup resilient against the attack that affected the primary data, how long does it take to restore operations from it, and when was it last tested?

Effective IT maintenance starts much earlier

It is often thought that IT maintenance is help provided when something breaks. However, this approach means the organization is already dealing with the consequences.

"Professional IT maintenance starts much earlier. It includes infrastructure monitoring, centralized workstation management, security control, regular updates, backup maintenance, and ongoing risk assessment.

IT maintenance is not just responding to failures. It is constant monitoring, planning, and development, as well as preventive work and processes that help stop problems before they affect the business," adds T. Burba.

Every organization invests in growth, sales, and new technologies. But it is worth pausing to ask one simple question:

Is your IT infrastructure managed proactively, or are you just happy that everything is working today? Because the true effectiveness of IT maintenance is not revealed when you manage to fix a failure quickly. It is revealed when the failure doesn't happen at all.

Reliable IT infrastructure is not an additional business expense. It is a prerequisite for stable organizational growth, ensuring business continuity and avoiding losses that often cost far more than preventive maintenance.
